Based in East Melbourne, an exciting opportunity is now available for a driven, proactive and dynamic EA & Company Secretariat to join this passionate team and work closely with the Executive Leadership Team consisting the CEO, COO and CFO.

This role will provide support, business analysis and participate in meetings to support and identify key issues while following up key recommendations. As an experienced and commercial Executive Assistant, you will work closely with the ELT to set priorities and ensure they are each being supported to maximize their time and efforts. Additionally, you will bring your previous Company Secretariat experience to this role contributing to the seamless coordination of the Board of Directors.

Your strong commercial background will be looked upon favourably as will your ability to liaise and consult effectively at all levels. You will be comfortable utilising your inate ability to navigate on behalf of the CEO through the challenges of a large domestic industry and mix of global stakeholders.

The nature of their business means the team are out of office fairly often, so the ability and willingness to support and interact whilst they are travelling to keep things running seamlessly will be highly regarded. This newly created role will see you managing projects and ensuring the delivery of effective coordination with a positive and flexible approach.


Key Responsibilities:

  • Provide support to the executive leadership team (ELT)
  • Provide research, analysis and report development as required
  • Preparation of materials and documentation
  • Minute taking in all board meetings and board committees
  • Preparation of board papers, working on board meeting coordination and working with the CFO and Legal Counsel on corporate governance
  • Support commercial, stakeholder management and advocacy tasks as required
  • Assist the ELT in diary management and help to priorities workload and meetings
  • Provide project management services
  • Coordinate travel arrangements for management and board
  • Ownership of the outsourced vendors
  • Provide support to the wider business on an as needs basis

Qualifications and Experience:

  • Previous experience in a similar role and proven track record of providing outstanding support to executive level management
  • Experience in management consulting, project management, business analysis or government/political support would be highly regarded
  • A strong degree of commercial acumen
  • Strong experience in Microsoft Office Suite
  • Strong analysis and report drafting experience
  • Facilitation/Presentation experience
  • Strong attention to detail
  • Confidence to convey opinions and influence the ELT as required
