Based in East Melbourne, a challenging and rewarding opportunity is currently available for an ambitious, driven and proactive business-minded professional to join their passionate and results orientated team, working closely with senior members of the business including the CEO, COO and CFO.

You will play an integral role in supporting the agenda and program of the executive leadership group and provide constant business and administrative support.  More broadly, you will assist with project management of events, business opportunities and internal communications, as well as any other tasks that require immediate action and follow up.  Having previously worked in an executive assistant, business or operations support role or similar, and ideally having a strong interest in working for a member-based organisation and/or in the agricultural industry, you are capable and confident in supporting senior members of a team and you are able to navigate your way through varied business tasks, enabling the leadership group to maximise their time and efforts.

Your ability to liaise and consult effectively at all levels will be paramount, as will be your ability to navigate and assist the senior members of the team through the challenges of working across a large domestic and global industry with a variety of international stakeholders.  The nature of their business means the team are out of the office regularly, so you must be confident with your ability to support their business activities and interact with these team members whilst they are travelling and ensuring that everything runs seamlessly during their absence.

Key Responsibilities

  • Provide  administrative support to the Executive Leadership team
  • Conducting research, analysis and report development
  • Producing documentation for meetings and minute taking in industry, customer and internal forums
  • Preparation of board papers board meeting coordination
  • Working with the CFO and Legal Counsel on corporate governance
  • Coordinating diaries and arranging travel and accommodation requirements for management and board members
  • Support commercial, stakeholder management and advocacy tasks
  • Providing project management support or leadership
  • Supporting the wider business operations through the annual business calendar and major events

Qualifications and Experience

  • Tertiary qualifications in business or similar is essential
  • Previous experience working in a similar role would be highly regarded as would a proven track record in providing outstanding support to executive level management
  • Proven project management skills will be advantageous as would be a strong interest in communications
  • A high level of commercial business acumen is essential as is the ability to organize your workload and meet deadlines.
  • Excellent attention to detail and accuracy skills are mandatory as are excellent verbal and written communication skills
  • Advanced skills in MS Office
